Membership software that fits the plan you actually sell

Monthly credits, included treatments, member pricing and automatic renewal, bought and managed by patients in the app.

Velarya is recurring membership software for clinics, spas and salons, where the plan is built from parts rather than picked from a template, and membership management software your front desk runs from the same dashboard as the loyalty program. A plan is a set of components: a monthly credit, or a voucher that lets the member claim a treatment from a list you choose, on the cycle you choose. On top of that sit member pricing, a higher points earn rate, an optional commitment with an early cancellation fee, and automatic renewal. Patients join and pay in the app, billing runs through your own Stripe account, and every benefit is redeemed at checkout.

What is a Velarya membership made of?

Most membership tools give you a price and a discount percentage. A real plan is rarely that simple. The plans practices actually sell are things like a monthly credit toward injectables, or a facial or massage every month with a choice of three, or a quarterly treatment plus member pricing on everything else. Velarya builds a plan out of components so those shapes are configuration rather than a workaround.

Component

What you set

What the member gets

Credit

An amount, and the cycle it refreshes on

Credit in their wallet to spend on treatments

Voucher

Which treatments qualify, and the cycle

One treatment from that list each cycle

Member pricing

A percentage off or a fixed member price, for everything, a category, a treatment, a variation, or an add-on

A lower price at checkout, applied automatically

Points rate

An earn rate for members, never below your standard rate

More points on every treatment than a non-member

A plan can carry several components at once, each on its own cycle of one, three, six or twelve months. That is what lets a single plan hold a monthly credit and a quarterly treatment without the two interfering.

How does member pricing actually resolve?

Member pricing is a rule attached to the plan, not a note in a brochure. Rules can target everything you sell, one category, one treatment, one variation of a treatment, or an add-on, and each rule is either a percentage off or a fixed member price. Because the rule lives on the plan, the discount is applied by the system when the member checks out.

This matters more than it sounds. The most common way a membership program leaks money is a front desk that forgets to apply the benefit, or applies it twice. When pricing resolves from the plan itself, neither happens, and the member feels the benefit on every visit rather than on the visits somebody remembered.

What happens to unused benefits?

This is the question that decides whether a membership program is profitable or resented, and it is the one most software answers for you. Velarya lets you answer it.

Setting

Options

Why you would pick each

Unused choice at cycle end

Forfeit, pick the first option for the member, or convert to account credit

Forfeit protects margin. Converting to credit protects goodwill and reduces cancellations.

Choice deadline

End of the cycle, or a set day of the month

A fixed day makes stock and staffing predictable.

Reminders

Automatic messages for unclaimed benefits and approaching claim deadlines

Members use what they paid for, which is what keeps them paying.

The trade-off: forfeiting unused value is the most profitable setting and the one most likely to generate a cancellation. Converting to credit costs margin now and keeps the member paying. The right answer depends on whether your plan sells a routine or savings, so the choice stays with you.

Membership billing software that renews on its own

A plan bills on the schedule you pick: monthly, quarterly or annually, with an annual plan charged for the full year up front. Each renewal charges the member’s saved card automatically, and the money settles in your own Stripe account. If a payment fails, the member is asked to update their card and the charge is retried twice.

Billing and benefits sit in the same system, so the plan on a member’s profile shows what they paid and what they have used and have left, rather than a charge with nothing behind it.

Commitments, renewals, and leaving

A monthly plan can run month to month or carry a commitment measured in months, with an early cancellation fee you define. Annual plans are prepaid for the year, which is a commitment in itself. Plans renew automatically, and members get a reminder before a renewal and a message when a plan renews or ends, which is the part practices usually discover they need only after a dispute.

You also choose how members leave: with a cancel button in the app, or by calling the practice. Both are legitimate, and the right one depends on how your team handles saves. Staff can manage any membership from the dashboard either way.

Joining, and what the member sees

Patients join from your app, pay by card, and are billed on the schedule the plan defines, into your own Stripe account. From then on the member sees their plan, their credit, their unclaimed vouchers, and what they are eligible to claim next.

Membership status sits on the patient’s profile, so your team sees the same state at the front desk that the member sees in the app, and the rewards program reads the plan when it works out earn rates.

Memberships across more than one location

Plan availability is set per location, so a plan can be sold at one site and not another. Separately, you decide whether members may redeem benefits anywhere in the business or only where they joined. Groups running different equipment or different menus per site need that separation. Groups running one consistent brand usually open redemption everywhere. More on how locations work on the multi-location page.

If your memberships are only a recurring charge, recurring billing software will do. If they include treatments, the benefit tracking is the hard part, and it has to sit where the member redeems: at checkout, in the app and at the front desk.

Where to start with a clinic membership

Most practices do best starting with one plan that sells a routine they already deliver, priced so the included benefit is worth slightly less than the monthly charge, then adding a second, richer plan once the first one has members. The arithmetic behind that is in how to price a med spa membership program. Paid memberships come with every plan; see the pricing page for what each plan includes.

Frequently asked questions

How do memberships work in Velarya?

A member pays on a recurring schedule and receives benefits in return. In Velarya those benefits are components you define: a credit amount per cycle, or a voucher that lets the member claim a treatment from a list you pick. Member pricing can apply on top, so a member pays less at checkout even after their included benefits are used.

Can I build a membership that includes a treatment every month?

Yes. Add a voucher component, set its cycle to one month, and pick the treatments the member can choose from. A member on that plan claims one treatment from the list each cycle. Setting the cycle to three months instead makes it a quarterly benefit without any other change.

What happens if a member does not use their benefit?

You decide. An unused choice can forfeit at the end of the cycle, be picked for the member automatically so they never lose value, or convert into account credit they can spend later. Automatic reminders for unclaimed benefits and claim deadlines go out first, so most members use what they paid for.

Can I require a commitment or charge an early cancellation fee?

Yes. A monthly plan can carry a commitment measured in months, with an early cancellation fee you set. Annual plans are prepaid for the full year. Members get a reminder before each renewal, so a charge never arrives as a surprise.

Can members cancel in the app?

If you allow it. You choose whether the app shows a cancel button or members call the practice to cancel. Either way, staff can manage any membership from the dashboard.

How does member pricing get applied at checkout?

Automatically, by the system rather than by the front desk. Pricing rules attach to the plan and can target everything, a category, a single treatment, a specific variation, or an add-on, as either a percentage off or a fixed member price. When a member checks out, the rule resolves and the member price appears without anyone remembering to apply it.

Can I offer different memberships at different locations?

Yes. Plan availability is set per location, so a plan can be sold at some sites and not others. A separate setting decides whether members may redeem benefits at any location or only where they joined, which matters for groups whose sites differ in what they offer.

How do patients sign up and keep track of their benefits?

In your app. Patients join a plan, pay by card, and then see their plan, their credit and vouchers, and what they can claim next. Membership status sits on the patient’s profile, so your team sees the same state at the front desk that the member sees in the app.

How does membership billing work?

Each plan bills on a monthly, quarterly or annual cycle, and every renewal charges the member’s saved card automatically, into your own Stripe account. An annual plan is charged for the full year up front. If a payment fails, the member is asked to update their card and the charge is retried twice.

What does a healthcare membership program need?

A healthcare membership program needs a plan patients understand, billing that runs without anyone chasing it, and a record of what each member has used. In Velarya a plan combines a monthly credit or a treatment each cycle with member pricing, bills the patient’s card on its schedule into your own Stripe account, and shows the member and the front desk the same plan status. Velarya signs a Business Associate Agreement with every practice, on every plan.

Is this membership software for small business or only for large groups?

It works for a small business as well as for a group. A single-location practice, studio or salon can start with one plan that sells a routine it already delivers, sold in the app and billed to the member’s card into its own Stripe account. Groups with several locations use the same plans, with availability set per location.
