Daily journal entries for points and wallet credit, with no patient names

Available on request. Our team builds the QuickBooks Online connection for your practice after a scoping call. For practices whose bookkeeper closes the month in QuickBooks Online. Once built, Velarya posts a daily journal entry for points issued and redeemed and for wallet credit, on the accounts your bookkeeper chooses, so the value members hold sits in your books. Entries carry totals only, never patient names.

  • One journal entry a day for points issued and redeemed
  • Wallet credit issued and spent, posted as its own lines
  • Posted to the accounts your bookkeeper maps at setup
  • Separate lines per location, tagged with QuickBooks classes or locations
  • Totals only: no patient names, visits or treatments

How it works

Available on request. Book a call, we scope it against QuickBooks Online's published API, build and test it with your team, and it goes live in your account.

  1. Your bookkeeper maps Velarya's points and wallet credit to accounts in your QuickBooks Online chart of accounts.

  2. An admin of your QuickBooks Online company approves the Velarya connection.

  3. Each day, Velarya totals the points and credit issued and redeemed at each location.

  4. Velarya posts those totals to QuickBooks Online as a journal entry dated for that day.

Each connection is scoped on a call and quoted separately, and the timeline is agreed on that call.

Questions

About the QuickBooks Online connection

Does Velarya integrate with QuickBooks Online?

Available on request: our team builds the connection for your practice after a scoping call, using QuickBooks Online's published API. Once it is live, Velarya posts a daily journal entry for your points and wallet credit.

Why would points appear in our books at all?

Points and wallet credit are value your members can still spend with you. The connection gives your bookkeeper daily totals, posted to the accounts they choose, so the balance is tracked in QuickBooks Online instead of rebuilt from reports each month.

Are patient names sent to QuickBooks Online?

No. Intuit says QuickBooks Online is not compliant with the HIPAA privacy standards and advises against entering individually identifiable health information, so each entry holds totals by day and location only.

Can we split the entries by location?

Yes. Each location's activity posts as its own lines, tagged with a QuickBooks class or location, so a group with several sites sees the balance for each one.

What does Intuit require before this goes live?

Intuit asks every app to complete a self-attested assessment before it can connect to live QuickBooks companies, and an admin of your company approves the connection. Both sit inside the timeline agreed on the scoping call.

Support

Our team builds and supports this connection.

Patient data

QuickBooks Online is not built to hold patient data, so the connection sends totals by day and location only. No patient names, member IDs, visits or treatments are posted, and a line never describes one person.

“QuickBooks Online meets industry standards for online security, but is not compliant with the HIPAA standards for privacy.”
